Invoices
High level Overview:
Click anywhere in the header to switch to edit mode
Choose to view invoice as GST-exclusive or inclusive
Choose to view coded lines by all lines, zero dollar lines or uncoded lines
Choose to view by comfortable, cosy or compact view. Compact view allows more coding lines on the form.
Where you select all the lines in the invoice for bulk coding or deleting.
The header:
Click anywhere in the header to switch to edit mode (expanded view). To exit the edit mode, double-click anywhere outside the header in the invoice
Reverse an amount from an expense to income (available if Invoice Scanner has been used), such as kill sheets.
Where you change the view (or filter) of the code lines. The options available are:
All lines: displays all the lines on the invoice (default setting).
Uncoded lines: displays uncoded lines only.
Zero dollar lines: displays zero dollar lines only.
If the invoice date is too far into the past or future, a symbol will alert you to check the date.
Coding lines:
Editing coding lines: Click on a coding line to edit it. Click anywhere else on the screen to collapse the coding line.
Choose to select all the lines in the invoice to bulk code, tag, merge, and delete.
Choose to select individual code lines to bulk code, tag, merge and delete.
Choose to add additional notes.
Click into the contextual menu (3 dots) to get more options.
Compact, Cosy and Comfortable view:
Change the view to a compact, cosy or comfortable view.
A compact view allows more lines to be displayed.
Bank transaction
High-level overview:
Click anywhere in the header to switch to edit mode
Choose to Match or Code the bank transaction.
NOTE: It's not recommended to change bank transactions, especially if using bank feeds. Bank transactions should match your bank statements.
Match:
The recommended practice is to match the invoice to the bank transaction. Select Match. The most likely invoice will appear at the top. Uncoded invoices are marked with a blue "Uncoded" token and cannot be selected until they are fully coded. To code uncoded invoices, click on the three dots next to them and select "Go to invoice."
Code:
There will always be some bank transactions you need to code. Select Code. Coding a bank transaction is the same as coding an invoice. Refer to the coding lines section above.
The particulars from your bank transaction field will be automatically pre-populated into the description field. This can be amended if required.
Coding large invoices
Use the filter function to code large invoices. Suggested approach:
Filter invoices by zero dollar lines and select all the zero dollar lines and bulk delete them.
Filter by uncoded lines
Code uncoded lines using coding rules, bulk code, merge, etc. Coded lines will be removed from the uncoded lines filter but can be viewed by filtering all lines.
